  • What do I need to provide if my child has a medical/disability diagnosis?
    This will vary depending on the diagnosis. If your child has a diagnosed medical condition, you must provide us with (prior to attending): A copy of the medical Action Plan prepared and signed by their GP (if there is one in place); Any reports or information about their medical condition. Once we are notified of a child who has a Medical Action Plan, the family must fill out a Risk Minimisation and Communication Plan in conjunction with the service, that details important information we must know to be able to support your child’s health and wellbeing. The Risk Minimisation and Communication Plan is a Regulatory requirement and a required document under the National Law and Regulations. If your child requires medication, you must provide us with (prior to attending): In date medication, in it's correct box, with a pharmacy label A completed Medical Authorization Form If your child has a disability diagnosis (such as ADHD, ASD etc) You are not required to provide us with anything, however - we have the opportunity to apply for additional funding to support Professional Development, resources and small group support. To appy for funding we require: A completed KU children's consent form A completed QLD DESE consent form A formal letter of diagnosis, health card etc.
  • What if my child is unwell?
    EPOSHC refers to the QLD 'Time Out' guidelines on exclusion periods and requirements. The goal of exclusion is to reduce the spread of infectious diseases. By minimizing contact between individuals who have an infectious disease and those who are at risk of catching it, we decrease the likelihood of the disease spreading. Excluding ill children, educators, and other staff is an effective method to limit the spread of infections in education and care services. For more information, please refer to Time Out Guidelines

  • Is there a waitlist process?
    Currently there is no waitlist. If we anticipate the need for one all current and future families will be contacted.
  • Who can attend EPOSHC?
    EPOSHC accepts students from Everton Park State School during Term time, we accept children from, and up to, the years they are enrolled in the school; if you are wishing to enrol a child from another school you can contact the service directly to make your request. There is no guarantee that EPOSHC will approve this request. During Vacation Care we accept school age children from the wider community to engage with our exciting play-based program.
  • What booking sessions are available at EPOSHC
    EPOSHC offers two session types during Term time: 1. Permanent Bookings: These are recurring bookings on a weekly or fortnightly schedule and are implemented for the entirety of the child's enrolment. Changes and Cancellations require two business days' notice. 2. Casual Bookings: These are irregular sessions that are made by families on a casual, as needed basis. They can be made in advance, or last minute. EPOSHC offers one session type during Vacation Care, this standard session can be booked casually up to and including the session of care. Additional Fees will be added depending on the program.
  • How do I remove or absent a booking?
    You can notify the service of an absence through the Xplor App: Open the Xplor Home app (no longer My Family Lounge) Click on bookings at the bottom of the screen Select the date you need to mark absent Click the '(+) New' button at the top right Select 'absence' Select the start and end date over which the absence will apply Please add to the comment section if this is regarding Before School Care (BSC), After School Care (ASC), or both. Click 'Request' to send the absentee You can also notify the service via email: eposhc@evertonparksspandc.com The administration team will review your absence request, we require two business days' notice to remove either casual or permanent bookings without charge. If your booking has been removed: you will recieve a rejection notification (this is due to the bookings being removed) and you will not be charged for the session. If your booking has been marked absent: you will recieve a confirmation notification and will be charged for the session . Absence Notification Procedure For any days when your child will be absent from the Service, families are required to notify us via the Xplor Home app if their child is away from school or does not require Before and After School Care. This allows us to account for every child and ensure their safety. Child safety is paramount to us. Failure to report an absence will trigger our Missing Child protocols, which may include contacting PoliceLink. This could result in an additional service charge. Repeated failure to report absences may lead to a review of your child's enrolment.
  • How do I cancel or amend my permanent bookings?
    If you want to cancel or amend your permanent bookings, please contact the service via email: eposhc@evertonparksspandc.com. All cancellations or changes are required to be placed in writing for record keeping purposes. We require two business days' notice to make these changes without charge. Fee payment will be applied when cancelled inside of the 2-day period. Please note, due to Centrelink's Cessation of Care guidelines it is best that your child attends on their last booking.
  • How do I make permanent or casual bookings?
    Request for Permanent bookings must be made in writing to the service via email: eposhc@evertonparksspandc.com Casual Bookings can be made via the Xplor App, or in writing to the service.
  • How do I enrol with CCS?
    Upon confirming your enrolment with EPOSHC, the service will commence the enrolment process with CCS. We need a primary guardian and the child's CRN (individual numbers), and date of birth to process this. If your current information is up to date with Centrelink, the enrolment will process before approval. You will receive a notification through Centrelink to approve your enrolment. EPOSHC will submit the enrolment for your child's first day of attendance, even if there is a delay in approving the enrolment, the subsidy will be applied from this commencement date. If you need to update your families details or activity test, you will also need to update your information via Centrelink. CCS is applied on a weekly or daily basis, the forecast amount of subsidy is applied to fees and families are charged 'the gap'
  • Why has my CCS ended?
    Unenrolment with CCS If a child does not attend any sessions of care at a childcare service, they may be unenrolled from the Child Care Subsidy (CCS) program according to government guidelines. This means that CCS payments will cease if the child has not physically attended any sessions of care for a certain period. If a child has not attended the service in 14 weeks, Centrelink will automatically end the enrolment and you will receive notification of this. To reactivate the enrolment, simply contact EPOSHC: eposhc@evertonparksspandc.com Cessation of Care According to Federal Government guidelines, childcare services are considered to have permanently ceased providing care for a child on the day the child last physically attends a session of care. This means that Child Care Subsidy will not be paid for absences submitted after a child's last physical attendance. If a family has confirmed their child's last day at a service but the child does not attend their last booked sessions of care, no Child Care Subsidy will be paid for any days after the child's last physical attendance at the service. CCS percentage or hours dropped to '0' In certain circumstances, your enrolment will continue however Centrelink may drop either the subsidy percentage, or the hours covered, to '0'. We receive notification of this and will contact families who see significant changes to their enrolment. Families will have to contact Centrelink directly to determine the reason for these changes.
  • What isn't covered by CCS?
    Child Care Subsidy (CCS) may not cover certain expenses or circumstances, including: Non-approved childcare providers: CCS is only applicable to approved childcare services. If a provider is not approved, the subsidy cannot be used. Non-approved activities: Some activities or services provided by childcare providers may not be covered by CCS if they are not considered part of the approved childcare service. Additional fees: While CCS helps with the cost of childcare, it may not cover all additional fees charged by childcare providers, such as late pickup fees, excursion fees, or additional program fees. Non-attendance: CCS payments may be affected if a child does not attend the childcare service for reasons other than illness or approved absences. Income threshold: CCS eligibility is subject to an income threshold. Families whose income exceeds this threshold may not qualify for the subsidy or may receive reduced benefits. Non-residency: CCS is generally available to families residing in Australia. Non-resident families may not be eligible for the subsidy. It's essential for families to check with EPOSHC and the Department of Education to understand what expenses and circumstances are covered by CCS.
  • Are absences covered by CCS?
    Yes, absences from childcare services are generally covered by the Child Care Subsidy (CCS) program under certain conditions: Approved absences: CCS covers absences due to illness, vacation, or other approved reasons. Each child is entitled to 42 absence days per child per financial year for any reason, without the need for documentation. Medical reasons: If a child is unable to attend childcare due to illness or medical reasons, CCS can still be claimed for those days, provided the provider is notified according to their policies. Provider-specific policies: Some childcare providers may have their own policies regarding absences, so it's essential to check with your provider to understand their specific rules and requirements. Overall, absences due to illness, vacation, or other approved reasons are typically covered by CCS, ensuring that families continue to receive subsidy payments even when their child is not attending childcare.
  • What is ACCS?
    The Additional Child Care Subsidy (ACCS) is a supplement to the regular Child Care Subsidy (CCS) program and is designed to provide additional financial assistance to families in certain circumstances. While ACCS covers many of the same expenses as CCS, it also has specific eligibility criteria and covers additional circumstances. Here's what ACCS may cover: Temporary Financial Hardship: ACCS may be available to families experiencing temporary financial hardship due to exceptional circumstances, such as a sudden loss of income, domestic violence, or unexpected expenses. Grandparent Care: ACCS may be available to grandparents or other non-parent carers who are the primary carer of the child and who meet certain eligibility criteria. Transition to Work: ACCS may be available to families transitioning to work, training, or study, including those who are undertaking mutual obligation requirements under the government's employment services program. Child at Risk: ACCS may be available to families with children at risk of abuse or neglect, or who are in need of protection, including those in foster care or kinship care arrangements. Temporary Residents: ACCS may be available to families who are temporary residents of Australia, including those with certain visa types, subject to specific eligibility criteria. ACCS provides additional support to families facing specific challenges or circumstances beyond the scope of regular CCS eligibility. Eligibility for ACCS is determined by the Department of Education based on individual circumstances and requirements. You must advise the service if you wish to apply for ACCS, you will need to provide evidence, the service will be able to provide further advice and information.
  • Can I remove Vacation Care Bookings?

  • When is my family able to attend Vacation Care?
    Your child can begin to attend Vacation Care on the year they enter Prep from the 1 January of the calendar year, and until the 31st of December of the year they graduate Grade 6. All children must be enrolled prior to attendance.
  • What should my child bring to Vacation Care?
    Everyday Sun Safe Clothing: Ensure your child wears shirts or dresses with sleeves and a hat that provides full coverage and sun protection. Enclosed Shoes: Children must wear enclosed shoes to ensure their safety when climbing and participating in the Educational Program. Spare Clothes: We encourage families to pack spare clothes when recommended. Water Bottle: While fresh, filtered water is available from bubblers, bringing a water bottle is recommended. Additionally, EPOSHC may request that you bring specific equipment, clothing, or resources on certain days (e.g., a bike and helmet on 'Wheels Day'). These recommendations will be specified in the program and communicated via email the week before the Vacation Care Program. These items are not compulsory but may enhance your child's enjoyment of the day.
  • What food is provided?
    All meals are provided during Vacation Care, including breakfast, morning tea, lunch, afternoon tea, and a 5:00 pm fruit snack. You are welcome to pack additional food for your child if you wish, but please ensure all items are nut-free. EPOSHC conducts a mealtime head count three times a day (morning tea, lunch, and afternoon tea) to ensure all children have the opportunity to eat their meals.
  • When is the Vacation Care Program released?
    The Vacation Care is released approximately half way through the Term (Week 5). EPOSHC will email all families with the program, and families will then be allowed to make bookings via Xplor.
  • How do I pay my balance?
    All accounts payments are via our Debit Success direct debit system which is fully automated. All accounts are required to be paid via a weekly or fortnightly payment cycle and must be up to date each week. Your direct debit details are completed on enrolment through Xplore Home web. Please see "How do I update My Direct Debit?" for instructions on updating you direct debit details.
  • How do I update my Direct Debit details?
    How do I update my direct debit details? If you need to update your payment details this can be done by the Primary Carer (i.e., Account holder, parent who is linked to your Child Care Subsidy) on the Xplor Home app but following the instructions below. Open the Xplor Home app Click on the "Finance" tab on the bottom the screen, second from the right hand side Ensure you have selected Wilston Kids Care Click "Change Direct Debit" Follow the prompts to update your payment details.
  • Where can I see my statement?
    Statements are sent out via email every Monday and will advise the amount owing at then end of that week, as well as the amount currently due to be debited at your next payment. Please click here to be redirected to a guide on how to read your weekly Statement.
  • Can my child attend extra-curricular while with EPOSHC?
    Yes, provided it is within Everton Park State School, and your child is booked in to care and it is during our operational hours. You will need to complete the extra-curricular permission form: Activities that are run by EPOSHC do not require an Activity Permission Form. What happens if I haven't signed the permission form but my child needs to attend? Under the National Law and Regulations to which our service is governed, all children attending an excursion, or an extra-curricular activity must have an signed permission form, giving written consent that they can participate. This is a rule to ensure safety and account for children leaving care of EPOSHC, or moving to another location. Without guardian written permission as required under the National Law and Regulations, the child is unable to attend the activity. What start and end dates do I use? If your child’s activity runs for a limited time, such as when external vendors attend, please document the start and end dates of the activity. For ongoing yearly activities, such as tennis or swimming, you can record the start date as their first day of attendance and the end date as the conclusion of Term 4, XXXX. This way, the activity form remains valid for the entire year and only needs to be updated if there are any changes. How often do I need to complete the form? The forms need to be completed each calendar year preferably before Term 1 starts and whenever there are any changes to their activity. For example, your child moves up a class in swimming therefore their lesson times change. Can I put all children on the one form? No. We do require an individual form for each child. However, we have made these forms as quick and easy to use as possible whilst still within the parameters of our regulatory requirements.
  • What happens if my child doesn't want to attend?
    Every effort will be made to engage your child in the extra-curricular activity. They will be transitioned to the activity location by a educator, wherein the duty of care will then be handed over to the activity leader. If a child expresses that they do not wish to attend the activity, every effort will be made, however we are not able to physically force children to attend, or transition. In cases where they refuse to attend, we will contact the family.
  • How does my child get to and from the activity?
    They will be walked there by an EPOSHC educator, and collected at the conclusion of the activity. If the activity is occurring within our licensed and supervised areas (such as the oval, or big shed) they may be directed their by an educator, who will monitor their transition.
  • Why do I need to authorise someone to else to pickup/drop off my child/ren?
    When arranging for an authorized person to collect your child on behalf of a guardian, we require this in writing to comply with the National Law and Regulations (Regulation 99). All authorizations must be updated by the guardian in the Xplor Home app. If the authorized person is picking up your child for the first time, please contact the Service and provide the name of the person collecting your child. They must be added as a Hub Guest in your Home app and have set up their password before collecting or dropping off your child. Alternatively, we must have written authorization via email. Upon arrival at the Service, they will need to report to the office and present their ID for verification against the enrollment records. As the Hub record (roll) is a legal document, children under the age of 18 must not use the Hub (iPad) at any time. You must also never give your phone number and PIN or email and password to any other person, as these are ways to identify you under the Family Assistance Law. Setting up a Hub Guest through your app is a quick process; please see the "How do I add Hub Guests to sign my child in or out" FAQ for further instructions.
  • How do I cancel a Hub Guest or Emergency Contact from my account?
    You can update your account contacts at any time via Xplor, alternatively - you can contact EPOSHC via email directly.
  • How do I add further authorised people to pickup/drop off my children?
    Open the Home App Click “Account” tab at the bottom right hand side Click the “Contacts” menu item Click the "+ Add" icon in the top right corner of the page Follow the prompts and click "send invite" once all information is entered The hub guest will now have 24 hours to set up their password Hub Guest Steps Hub Guest will receive an email to create password (may be marked as junk or spam) Please note, Hub Guests do not have access to the Xplor Home app. They will sign your children in/out via the iPads at the Service.
  • How do I sign my child in/out of the service?
    Children should be signed in/out either via the Ipad or by scanning the QR code with your phone whilst in the Xplor app. You can add further authorised people (hub guests). BSC – Children must be signed in by their parent/guardian/Hub Guest (over 18 years of age) for Before School Care before 8:30am. After this time, the children attending EPOSHC will be in the process of getting ready to go to school and will be signed out at 8:30am (Year 1 – 6). ASC – Children will be signed in from 3pm by EPOSHC staff only. Under no circumstances are parents to sign children in to After School Care. Children will be unable to be signed out before 3:20pm. If you are picking your child up early (before 3:20pm), you will need to mark your child absent from EPOSHC before 3pm.

  • Are there any other fees?
    Failure to inform absence: $25.00 per child after the third reminder Late pickup: Closing time of the Service is 6:00pm. Parents who collect their child/ren after this time will incur a late fee of $15.00 for the first 15 minutes, and $1/minute thereafter. Our software charges a late fee from 6:00pm automatically rather than the Administration team charging them manually on the weekly statement. Please note that if you do not sign your child out this will automatically incur this late fee.
  • Are all fees covered by CCS?
    All booking fees (charges for BSC, ASC and VC) are covered by CCS. Additional fees (such as late pick up fees) are not covered by CCS.
